  • Provide alerts and operate geofences
  • Manage devices
  • Provide customer support

Lawful bases

  • Performance of a contract our principal basis for the information needed to provide the Vantis Guard service you have signed up for.
  • Legitimate interests for activities such as platform security, fraud and abuse prevention and service reliability, balanced against your rights.
  • Legal obligation where we must process or retain information by law, for example tax and accounting records.
  • Consent where the law requires consent for a particular activity, we will ask for it separately, and you may withdraw it at any time where applicable.

4. GPS and vehicle location data

Processing GPS and location data is fundamental to Vantis Guard. When a Vantis Guard tracker is installed and active, it may transmit location and vehicle activity information to Vantis Guard systems. This enables authorised users to access live vehicle location, journey history, stop history, geofences, alerts and other tracker features.

The Vantis Guard account holder is not necessarily the person driving or travelling in the tracked vehicle. The account holder is responsible for ensuring they have the appropriate lawful basis, permission or other legal authority to install and use a GPS tracker and to monitor the relevant vehicle or individuals where required by law.

Vantis Guard must not be used for unlawful, covert or unauthorised surveillance.

5. Live tracking links

Authorised users can create secure, time-limited tracking links. These allow another person to view specified live vehicle and location information without having their own Vantis Guard account.

  • Creating a link is controlled by the account holder.
  • The account holder controls who they send the link to.
  • Recipients should treat tracking links as confidential.
  • Access expires according to the time limit chosen, and the account holder can revoke a link earlier.
  • We process technical information needed to provide and secure this feature.

6. "ETA to Me" and viewer location

Shared tracking links can offer an "ETA to Me" feature, which estimates how long the vehicle will take to reach the person viewing the link. To do this, it asks for the viewer's device location. Permission is always requested through the browser or operating system, and the feature only works if the viewer allows it.

The viewer's location is used only to calculate the travel time while the link is open on their screen. It is sent to our mapping provider to calculate the route and is not saved to the viewer's or the account holder's history. We do not track viewers after they close the page.

7. Payments

We use Stripe to process payments and subscriptions. Stripe processes payment and billing information according to its own privacy policy. Your full card details are entered directly with Stripe and are not stored by Vantis Guard.

We may receive and keep:

  • Payment status
  • Subscription status
  • Transaction and customer identifiers
  • Limited billing information needed to administer your subscription

8. Data retention

Our standard retention period for GPS location history is 365 days. Each day, our system automatically checks for GPS location records older than 365 days. Records identified for deletion are then reviewed and approved by our team before they are deleted, and we check afterwards that the deletion was successful.

Deletion is not automatic. Because each deletion needs our approval, some GPS location records may be kept for longer than 365 days while they await review. Your journey and route history is reconstructed from these stored GPS positions, so it is reduced as old positions are deleted. Each tracker's most recent location is always kept so that live tracking continues normally.

Our policy is that all historical tracking records become due for review for deletion once they are older than 365 days. At present, only GPS positions are identified by our daily check and deleted through our approval process. Saved stop and parking records, historical alerts (for example shock, ignition or power-disconnection alerts) and technical diagnostic records are not yet included in that process. They require separate manual review and deletion by our team, and alert records held on our tracking server can only be removed directly on that server. Until that review takes place, these records may be kept for longer than 365 days.

You can delete your Vantis Guard account at any time from your account settings. We cancel any active subscription first, then delete your account, app data (including saved stops and alerts), sign-in sessions, notification registrations and shared tracking links. We then delete the GPS positions recorded by your trackers during the time each tracker belonged to your account, and check that they are gone. To protect other customers who used the same tracker before or after you, a short period at the start and end of each ownership period may be kept and is reviewed by our team. Alert records held on our tracking server cannot currently be deleted automatically; they are removed separately by our team where technically possible and may remain until then. Some technical diagnostic records linked to the tracker rather than your account may also be retained. Financial records and the physical tracker record (its serial number and ownership history) are kept, as explained below.

Deleted information is not removed from backups immediately. Our main database is backed up daily, and these backups are normally kept for about 14 days before they expire. Our tracking server's backups follow their own retention period. Backups are used only to restore our service if something goes wrong.

Some financial and transaction records must be kept longer for tax, accounting or other legal reasons. Security logs, support correspondence and other operational records are kept for periods appropriate to their purpose and legal requirements.

9. Who we share information with

Vantis Guard does not sell customers' personal information.

We use service providers that process information on our behalf to operate the platform, including providers of:

  • Cloud hosting, database and authentication infrastructure
  • GPS tracking server infrastructure
  • Mobile connectivity for trackers
  • Payment processing (Stripe)
  • Email and customer communications
  • Mapping, address lookup and route calculation
  • Security and technical services

These providers may only use the information to provide their services to us. We may also disclose information where required by law or to protect our rights, users or the public.

10. International data transfers

Some of our service providers may process information outside the United Kingdom and/or the European Economic Area. Where this happens, we use the lawful transfer mechanisms and safeguards required by applicable data protection law, such as adequacy regulations or approved standard contractual clauses.

11. Security

We use technical and organisational measures designed to protect personal information from unauthorised access, disclosure, alteration, loss or destruction. These include account authentication, access controls that keep each customer's vehicles and history private to their account, encrypted (HTTPS) connections, and restricted administrative access.

No internet-connected system can be guaranteed to be completely secure. You are responsible for keeping your account credentials confidential.

12. Your data protection rights

Depending on the circumstances, you may have the right to:

  • Access your personal information
  • Have inaccurate information corrected (rectification)
  • Have your information erased
  • Restrict how it is processed
  • Receive it in a portable format (data portability)
  • Object to processing
  • Withdraw consent where processing is based on consent

Whether a particular right applies can depend on the circumstances and the lawful basis for processing. To make a request, email info@vantisguardgps.com.

13. EU customers

Vantis Guard intends to provide services to customers in both the United Kingdom and the European Union. Where the EU GDPR applies, you may have rights under EU data protection law in addition to the protections available in the UK.

14. Children's privacy

Vantis Guard is a vehicle GPS tracking service. It is not intended for children to create accounts or purchase subscriptions independently, and we do not knowingly offer customer accounts directly to children.

15. Cookies and analytics

Vantis Guard does not currently use third-party analytics or advertising trackers such as Google Analytics or Meta Pixel.

The website and app use technically necessary cookies and browser storage for authentication, security, session management and your preferences (such as map appearance and speed units).

If we introduce non-essential analytics or advertising technologies in the future, we will update this policy and ask for your consent where required.

16. Changes to this Privacy Policy

We may update this policy when our services, technology or legal obligations change. Where changes materially affect how your personal information is used, we will take appropriate steps to notify affected users.
